Position Summary:

The Accounting Associate position is responsible for accounts payable processing and transactional accounting as well as providing various support to the other departments within HR&P. This position is the GL-Account expert and the gate-keeper for company payables including unclaimed property processing and bank reconciliations. This position also serves as backup for the Treasury Associate. This position reports to the Accounting Manager.

Essential Job Functions:

  • Enter and code Benefit Checks and ACH transactions into Apex and ACH bank rec.
  • Enter and code Tax checks and EFT payments into Apex
  • Enter and code check deposits including Cobra checks into Apex and submit to Treasury Associate for deposit.
  • Setup vendor codes for Garnishment Checks and process garnishment payments. Work with the payroll department to facilitate Garnishment pay process. 
  • Process other Accounts Payables as needed. 
  • Run commission reports and submit to Accounting Manager for processing.
  • Setup new Client Shells with meticulous accuracy including work comp codes and tax rates
  • Manage and carry-out unclaimed property procedures according to state requirements. Implement monthly processes.
  • Process property tax renditions
  • Process Invoice adjustments for Sundial, Background checks and other one-off client adjustments.
  • Reconcile monthly Bank Statements (For internal control purposes, bank recs and payroll deposit uploads should be done by separate persons) 
  • Serve as back-up for Treasury Associate.


  • DEADLINES. Below is a listing of deadlines this position is responsible for:
  • As received - Client Shells
  • Month End – Commission Reports
  • April 15th - Annual Property Tax Rendition
  • Unclaimed Property (Annual deadlines):
  • Feb 1st – Internal operating/payroll check review deadline. Submit payroll check review files to payroll by Feb 1st.
  • Mar 1st – Due Diligence cutoff date. The state cutoff date for reviewing unclaimed property records is Mar 1st. 
  • May 1 – Due Diligence Mailing Deadline. Texas requires unclaimed property holders to mail a notice by May 1st to all owners of unclaimed property over $250 that are due to be included in the July report. 
  • July 1 – Report Submission Deadline. Texas requires all unclaimed property reports and payments to be postmarked and transmitted by July 1st. 

Knowledge Skills & Abilities:

  • Accounting degree or 2 years' experience in a related position;
  • Accuracy and high attention to detail; 
  • Working knowledge of financial documents and accounting practices;
  • Proficient in Microsoft Office including Excel, Word, Exchange. Experience with accounting software.
  • Spreadsheets: Using a computer application to enter, manipulate, and format text and numerical data; insert, delete, and manipulate cells, rows, and columns; and create and save worksheets, charts, and graphs.
