Position Summary:

The Mailroom Processor will perform all duties related to processing and sorting all incoming and outgoing mail, including serving as an internal courier. This position reports to the General Manager.

Essential Job Functions:

  • Fold and stuff mailings into envelopes, label envelopes, and mail out the materials;
  • Monitor, maintain and use office mail and printing equipment to facilitate the mailing process;
  • Maintain and stock office and mailing supplies;
  • Receive and sign for incoming mail; Sort and distribute mail for the office;
  • Ensure that all mail including facsimile transmissions are timely delivered to the proper recipient;
  • Ability to decipher confidential correspondence and distribute to the appropriate parties accordingly;
  • Process all outbound FedEx, UPS, and Courier packages, create and affix labels appropriately, and stage all outgoing deliveries in the appropriate designated area; Handle time-sensitive materials and urgent packages;
  • Record chain of custody and maintain delivery records for all FedEx, UPS, and USPS packages requiring signature;
  • Perform administrative tasks as assigned;
  • Ensure all company mail processing deadlines are met daily which may include delivering or taking mail to the post office, drop boxes or other locations;
  • Answer phones to relieve the receptionist for lunch, breaks and days off;
  • Coordinate and maintain break rooms including stocking and ordering supplies as well as upkeep of breakroom equipment (coffee machines, refrigerators, etc.). 

Knowledge Skills & Abilities:

  • High school diploma or equivalent (GED);
  • Ability to work 9am to 6pm, weekdays required;
  • Ability to lift up to 40 lbs. occasionally;
  • Office administrator and clerical background with mailroom and customer service related experience preferred but not required;
  • Spanish language fluency preferred but not required;
  • Proficient in Microsoft (Excel, Power Point, Word, etc.);
  • Ability to handle tight deadlines on date sensitive mailing material and occasional overtime around tax deadlines;
  • Excellent organizational and communication skills both verbal and written;
  • Ability to effectively work individually or in a team environment;
  • Competency in performing multiple functional tasks;
  • Must possess a valid driver's license.
